1) Scope & who this policy covers

This Policy explains how we collect, use, disclose, and protect personal information when you visit our website, contact us, book storage, or use our services at our Stewiacke facility. It applies to customers, authorized drivers/pickup parties, website visitors, and prospective clients. We manage personal information in accordance with Canadian privacy law, including the principles under PIPEDA. 

2) What we collect

We collect the minimum personal information needed to provide and administer storage services, including:

• Identity & contact: name, phone, email, address.
   

• Vehicle details: make/model, plate/VIN, size, storage stall, photos (if we document condition).
   

• Booking & account data: reservations, appointment history, communications, preferences.
   

• Payment data: payment method, transaction details (processed by Stripe—see §7).
   

• On-site security: access logs and CCTV recordings covering facility perimeters and common areas.
   

• Website/technical: device/browser info, pages viewed, cookies and similar technologies (see §9).
   

If you provide information about an authorized pickup/driver, you confirm you have authority to do so.

3) Why we collect it (purposes)

• Provide, administer, and secure storage services, including booking, intake, release, billing, and customer support.
   

• Verify identity for vehicle release and deter fraud/theft.
   

• Operate and improve our site and services, including troubleshooting, analytics, and safety.
   

• Communicate about reservations, invoices, service updates, policy changes, and—if you opt in—marketing.
   

• Comply with legal, tax, audit, and regulatory obligations and enforce our agreements.
   

4) Lawful basis / consent

We collect, use, and disclose personal information with your consent (express or implied), to fulfill a contract you request (storage/booking), and where required or permitted by law (e.g., security, fraud prevention, legal claims). You can withdraw consent for non-essential uses at any time, subject to legal/contractual limits and reasonable notice. 

5) Disclosures (who we share with)

We share personal information only as needed to provide our services or as required by law:

• Service providers / processors:
   

  • Stripe (payments): processes payments and related personal data. We do not receive or store full card numbers; Stripe handles them under its own policies and safeguards.
     

  • Kinnovis (bookings/account management): manages reservations, customer accounts, and related communications.
     

• Operational partners: IT, hosting, email/SMS and support tools (limited access, bound by contract).
   

• Legal & safety: law enforcement or authorities when legally required or to protect people, property, or our rights.
   

We do not sell personal information.

6) Cross-border transfer

Our providers and systems may process personal information in Canada, the United States, the EU/EEA, the UK, or other jurisdictions. We take steps designed to protect your information during transfers, including contractual safeguards with providers. See Stripe’s and Kinnovis’s privacy notices for their processing locations and protections. 

7) Payments (Stripe)

When you pay online or on file, payment details are collected and processed by Stripe. Stripe uses and safeguards that data under its Privacy Policy and agreements; we receive limited payment metadata (e.g., last-4, expiry month/year, transaction IDs) to reconcile accounts and detect fraud. 8) Bookings & accounts (Kinnovis)

Bookings and customer account management are handled through Kinnovis. The information you provide to make or manage a booking is processed in accordance with Kinnovis’s Privacy Policy. You may manage certain profile details within your account.

9) Cookies & analytics

Our website may use cookies or similar technologies to keep you signed in, remember preferences, and improve performance. You can control cookies via your browser; blocking some cookies may affect site features.

10) Marketing & CASL

We send marketing communications only with your consent (e.g., opt-in email or SMS). You can unsubscribe at any time using the link in the message or by contacting us. We follow Canada’s anti-spam rules for commercial electronic messages.  

11) Retention

We retain personal information only as long as necessary for the purposes above, including legal and tax obligations. Typical examples:

• Booking and billing records: up to 7 years (tax/audit).
   

• CCTV: ~30–90 days unless needed for an incident, claim, or investigation.
  When no longer required, we securely delete or anonymize information.
   

12) Security

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including restricted access, encryption in transit where applicable, and secure key and document handling on-site. No system is perfectly secure; we maintain incident response processes and work with trusted providers.

13) Your rights

Subject to law, you can request access to, or correction of, your personal information in our custody or control. You may also ask about our data practices or withdraw consent for non-essential uses. We will respond within a reasonable time and may require verification of identity. If unresolved, you may contact the Office of the Privacy Commissioner of Canada. 

14) Children

Our services are intended for adults. If we learn we collected personal information from a child without appropriate consent, we will delete it.

15) Third-party links

Our website may link to third-party sites. Their privacy practices are governed by their own policies.

16) Updates to this Policy

We may update this Policy from time to time. Changes will be posted with a new effective date. Your continued use of our services after an update signifies acceptance of the updated Policy.
